The Mint is hiring an Administrative Assistant, Strategic Procurement who can thrive in a dynamic and inclusive environment.
Reporting to the Director of Strategic Procurement, the Administrative Assistant, Strategic Procurement, provides comprehensive administrative support to the Director of Strategic Procurement and other leaders within the Finance & Administration division, as well as to the Internal Audit team. This role ensures smooth departmental operations by coordinating requests, managing documentation, supporting onboarding, maintaining electronic filing systems, and organizing meetings and events in both on‑site and remote environments. The incumbent also supports reporting activities for Strategic Procurement, collaborating with staff to prepare updates, and developing templates and tools to support team compliance.
Your Responsibilities:
- Manage general administrative tasks, including calendar management, coordinating visitors/clients, organizing meetings, booking meeting rooms, responding to inquiries, booking courses/travel, and sorting mail
- Support the preparation and finalization of Strategic Procurement team presentations and documentation, in coordination with the translation department
- Handle and coordinate materials for leadership briefings, sole sources, contract signatures, and related activities (focuses on ensuring signatures and their coordination)
- Order supplies and equipment for department teams, ensuring best pricing options and monthly reconciliation of Pcard purchases.
- Provide travel support to the Director, including travel bookings, expense claims, and hospitality forms
- Manage records archival and disposition for the Strategic Procurement team, as needed.
- Act as backup to other Finance & Administration Administrative Assistants, when required
This position offers a hybrid work arrangement, requiring on-site presence at our Ottawa location three to five days per week, depending on meeting requirements and other activities.

Qualifications:
Languages Requirements:
Proficiency in both official languages (English / French) is required at the time of hire. If no qualified candidate fully meets the required levels, other candidate language profiles may be considered in accordance with the Mint’s Staffing Policy. The linguistic profile for this position is:
- Reading Comprehension: B Intermediate
- Written Expression: B Intermediate
- Oral Proficiency: B Intermediate
Education & Designation:
- College diploma or certificate in related area or a combination of education and relevant work experience will be considered
Experience:
- Minimum of 3 years of administrative support experience in a corporate or professional services environment, including calendar management, meeting coordination, correspondence preparation, and travel arrangements
- Experience supporting leadership teams through the preparation of presentations, documentation, and briefing materials, ideally involving collaboration with translation or cross‑functional teams
Additional Qualifications:
- Ability to track and reconcile expenses
- Knowledge of Treasury Board travel guidelines
- Demonstrated proficiency working with enterprise systems such as vendor management or compliance platforms (e.g., DAX, Dow Jones, or comparable tools), with a proven ability to ensure accuracy and completeness of data.
- Ability to demonstrate organization of business processes and various reporting requests
- Proactive and resourceful approach to problem-solving and relationship building across teams
- Demonstrated ability to respond to numerous enquiries and manage multiple priorities with discretion, adaptability, and sound judgement
- Excellent written and verbal communication skills
- Maintain accuracy and quality of documentation, presentations, and communications
