The mint is hiring a Coordinator Corporate Secretariat who can thrive in a dynamic and inclusive environment.
This position reports to the Senior Manager, Corporate Governance and Policy Implementation and supports compliance with statutory and regulatory requirements while leading the document preparation process and communications related to Leadership members and Mint’s Board of Directors.
Your Responsibilities:

- Provides direct and timely governance and compliance support to the members of the Board of Directors as well as the Corporate & Legal Affairs leadership team.
- Manages the document preparation and management process for all Board, committee and special meetings by aligning internal stakeholders using an established approach and schedule and ensuring quality control.
- Manages all Board communications by addressing inquiries and responding to official communications between Government entities, Board of Directors and Leadership.
- Supports the Board’s Governance and Nominating Committee by addressing specific governance, research and compliance matters as defined in its annual workplan.
- Leads ATIP and Parliamentary Inquiries responses for the Corporate Secretariat while maintaining the appropriate divisional, Board and Committee meeting files.
- Ensures sound data governance and the implementation of information management practices within the division.
- Assists the Corporate Secretariat team with the coordination of due diligence requirements and continuous improvement efforts to ensure the fulfillment of Board mandates and Leadership expectations.
This opening is to be filled on a hybrid working arrangement, and the incumbent will be required to work from the Ottawa location generally on an average of 1-2 days a per week which could change based on operational requirements.
Qualifications:
Languages Requirements:
- An intermediate level of bilingual proficiency in both official languages (English / French) is required at the time of hire.
Education & Designation:
- College diploma or certificate in related area or a combination of education and relevant work experience will be considered.
Experience:
- Minimum of 5 years of related business administration and coordination experience.
- Experience working in a Crown Corporation setting is an asset.
- Experience coordinating the work of a Board of Directors and related documentation is an asset.
Additional Qualifications:
- Advanced skills in Microsoft Office Suite (Word, Excel and PowerPoint, Adobe)
- Strong knowledge of virtual Collaboration Tools such as Zoom, Teams and others.
- Sound judgement, discretion, experience working with executives and Board members.
- Superior written and oral communication skills.
- Strong organizational and time management skills.
