The Mint is hiring a Coordinator, Protective Services who can thrive in a dynamic and inclusive environment.
Reporting to the Chief Security Officer (CSO), the Coordinator is responsible for supporting the CSO office including the Protective Service Officer teams in Winnipeg & Ottawa, Personnel Screening & Investigations, Security Infrastructure, and Training, Standards & Governance Security. The Coordinator confirms the alignment of timelines, deliverables, and oversees and maintains the cost centers respective budgets. In addition, the Program Coordinator works with internal stakeholders to map out and document new and existing processes within the Protective Services teams, as well as acts as a point of contact in the CSO’s office for organizing meetings with internal and external stakeholders.
This opening is to be filled on a hybrid working arrangement, and the incumbent will be required to work from the Ottawa location generally on an average of 3 days a week which could change based on operational requirements.

Your Responsibilities:
- Provide support and coordination to a specific function or program within a business unit.
- Apply methods, techniques, and work processes to accomplish required objectives, to provide support, and to organize and interpret information and data.
- Make technical recommendations and offer insights which contribute to continuous improvements.
- Participate as part of a team to implement projects, occasionally overseeing the work of junior colleagues.
- Work within a general work routine, liaising with others as necessary to meet specific objectives.
- Coordinate the logistics of travel plans for the entire Protective Services management team, including booking flights, accommodations, and transportation.
- Plan, coordinate, and manage Protective Services events, meetings, and forums, including booking venues, arranging catering, communicating with stakeholders’ key messages in advance of the events, and preparing or requesting required materials & resources needed
- Serve as the main point of contact for internal and external communications related to the coordination of PS programs, ensuring timely and accurate information is being shared and provided with the appropriate stakeholders and/or clients.
- Maintain and update documents, records, databases, and filing systems as directed by the CSO in accordance to specific policies that might be applied.
- Assist with administrative tasks such as filing, data entry (e.g., Chrome River, VIP), and managing correspondence for the CSO.
- Assist with basic financial tasks such as budget preparation, tracking expenditures processing invoices, expense reports, and budget tracking.
Qualifications:
Languages Requirements:
- An advanced level of bilingual proficiency in both official languages (English / French) is required at the time of hire. If a bilingual candidate is not identified, other candidate language profiles may be considered in accordance with the Mint’s Staffing Policy.
Education & Designation:
- University degree or certificate in related area of a combination of education and relevant work experience will be considered
Experience:
- Minimum of 5 years of related business experience
Additional Qualifications:
- Sound judgement and discretion
- Superior written and oral communication skills
- Strong organizational and time management skills
- Proficient in MS Office applications (Word, PowerPoint, Excel)
- Experience with programming tools for creating process maps, workflows, organizational charts, and business process models for communicating complex information through visual diagrams
