The Royal Canadian Mint is hiring an Administrative Assistant, Commercial Team who can thrive in a dynamic and inclusive environment.
This position reports to the Director, E-Commerce & Marketing Communications and is responsible for providing functional support and coordination of activities at an operational level, while working towards objectives set by others and relying upon knowledge of systematic procedures that guide thinking. The Commercial Administrator must also contribute to continuous improvements within the work unit and operate within a day-to-day time frame.
Essential Duties and Responsibilities
- Works within prescribed work routines and methods, liaising with others as directed to meet specific objectives
- Provides administrative support to the Precious Medals Commercial teams to ensure that timelines and deliverables are met.
- Assist in creating, editing and proofreading, reports, presentations and other documentation.
- Coordinate and book travel arrangements, prepare and review travel claims against the policy and complete expense reports.
- Handle the processing, safekeeping and archiving of both electronic and paper versions of documents. Provide support with the filing of documentation.
- Coordinate the timely responses to Parliamentary Inquiries and Access to Information Requests.
- Plan and update agendas, coordinate meetings and manage their priorities.
- Where required, create and process purchase orders for the Commercial Directors, receive pay invoices, assist with P-card claim submissions and support the operational budget tracking and reconciliation with the financial reports.
- Organise meeting logistics, draft minutes of meetings when required and follow-up on outstanding items as needed.
- Coordinate special events for the Commercial teams as required.
Requirements
- College diploma or certificate in related area or a combination of education and relevant work experience will be considered.
- Minimum of 3 years of related business experience.
- In-depth knowledge of various software programs (specifically Microsoft Office Suite: Outlook, Word, Excel and PowerPoint)
- Excellent administrative abilities, strong organizational skills and detail-oriented.
- Bilingualism (English & French) is an asset.
