The Mint is hiring an Administrative Assistant to work on average 21 hours per week who can thrive in a dynamic and inclusive environment.

Reporting to the Director, Talent Management, you'll provide essential administrative support to the Human Resources (HR) Division Directors and their respective teams. As our ideal candidate, you will independently lead a wide range of administrative tasks to ensure the smooth functioning of the HR Section. We are looking for someone who is exceedingly well-organized with a keen attention to detail and who enjoys the challenges of supporting a diverse HR team with various programs.

Essential Duties and Responsibilities

  • Provide logistical and administrative support for Talent Management programs, including but not limited to: scheduling meetings, coordinating various event types, inviting participants, preparing scenario notes, and supporting technology and hospitality needs.
  • Act as liaison between the various functions of HR and the offices of VP, HR and the CEO.
  • Create and process purchase orders for the HR division using the Mint’s requisition system, assist with budget tracking and reconciliation for HR cost centers.
  • Maintain accuracy and quality of documentation, presentations, and communications aligned with HR programming.
  • Support internal program tracking tools, follow-up processes, and the development of streamlined templates and resources.

This opening is to be filled on a hybrid working arrangement, and the incumbent will be required to work from the Ottawa location on average 3 days a week which could change based on operational requirements.

Requirements

Language Requirements:

  • An advanced level of bilingual proficiency in both official languages (English / French) is required at the time of hire. If a bilingual candidate is not identified, other candidate language profiles may be considered in accordance with the Mint’s Staffing Policy. 

Education:

  • College diploma or certificate in related field (e.g., Business Administration, Human Resources, Communications), or an equivalent combination of education and experience.

Experience:

  • Minimum of 3 years of related business experience in administrative support, event planning, or coordination roles – preferably within an HR or corporate environment.

Knowledge, Skills and Abilities:

  • Strong knowledge of administrative systems, business processes, and software such as Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) Microsoft Teams, Microsoft Co-Pilot, and information management tools (e.g. SharePoint).
  • Experience using requisition and procurement systems, with attention to details for cost tracking.
  • Excellent written and verbal communication skills in both English and French, including proofreading and formatting documents for clarity and consistency.
  • Demonstrated ability to manage multiple priorities with discretion, adaptability, and sound judgement.
  • Proactive and resourceful approach to problem-solving and relationship building across teams.
  • Professionalism, tact and diplomacy when dealing with confidential or sensitive information.
